Exhibit Terms and Conditions
1. Exhibit Space Description
Each exhibitor will be provided with one (1) standard table space (typically 6 ft. or 8 ft.) and may include one (1) chair unless otherwise specified. This is a tabletop-only exhibit. No floor displays, booths, tents, or freestanding structures are permitted beyond the dimensions of the assigned table space. Exhibitors must remain within their designated space and may not block aisles, entrances, or neighboring tables. Exhibitors are responsible for ordering their own AV, electricity and internet needs.
2. Setup and Breakdown
Set-up time: Exhibitors may begin setup only during the assigned setup window provided by the event organizer. Breakdown time: Exhibitors must remain open and staffed during all event hours and may not dismantle displays early. All materials must be removed promptly at the close of the event. Any items left behind may be discarded or removed at the exhibitor’s expense.
3. Display and Conduct Rules
Exhibits must be professional, safe, and appropriate for a public event. No items may be affixed to walls, floors, or ceilings unless explicitly approved. Use of sound amplification, open flames, hazardous materials, or strong odors is prohibited unless prior written approval is obtained. Exhibitors may not conduct raffles, drawings, or sales promotions that violate local laws or event policies. The event organizer reserves the right to require removal of any display deemed unsafe, disruptive, or inappropriate.
5. Insurance and Liability
Exhibitors participate at their own risk. The event organizer is not responsible for loss, theft, or damage to exhibitor property. Exhibitors agree to indemnify and hold harmless the event organizer, venue, and affiliates from any claims arising from participation. Proof of liability insurance may be required (if applicable to your event).
6. Payment Terms
Full payment is required to reserve a table. Accepted payment methods: credit card, check or ACH. Reservations are not guaranteed until payment has been received and confirmed. Late payments may result in cancellation of the reservation or reassignment of space.
7. Cancellation and Refund Policy
The exhibit table sponsorship cannot be cancelled, transferred or refunded once confirmed.
8. Assignment of Space
Table assignments are made at the discretion of the event organizer. Requests for specific locations may be considered but are not guaranteed. The organizer reserves the right to adjust the floor plan or reassign spaces if necessary.
9. Compliance with Laws
Exhibitors must comply with all applicable local, state, and federal regulations.
10. Agreement and Enforcement
Submission of an application and/or payment constitutes acceptance of these rules. Failure to comply may result in removal from the event without refund.
Sponsorship Terms and Conditions
1. Overview of Sponsorship Programs
Global Clinical Knowledge (“GCK”) offers the following sponsorship opportunities:
Each program is designed to provide unique engagement with oncology providers and is governed by the specific terms outlined herein.
2. Clinical Insights Forum Sponsorship Terms
Clinical Insights Forums provide sponsors with real-world visibility into regional oncology practice patterns.
2.1 Format & Participation
Forums are educational and insight-driven and are designed to capture broad, unfiltered perspectives from participating oncology providers. Sponsors may not participate in discussions and must remain in an observer-only capacity. All discussions are conducted via structured polling, case-based presentations, and moderated dialogue to ensure objectivity. This session is promotional and non-CME in nature.
2.2. Benefits
Access to a session with 40–60 oncology providers, comprehensive post-session summaries, polling results and aggregate insights (no personally identifiable information). meeting space and standard audiovisual (AV), meals and beverages as outlined in program, one (1) tabletop exhibit space in a designated networking area and up to three (3) sponsor representative badges. Additional badges available to purchase.
3. Advisory Board Sponsorship Terms
Advisory Boards are structured for focused strategic dialogue with a curated group of oncology professionals.
3.1. Format & Purpose
Sessions are invitation-only and include approximately eight (8) oncology providers. The primary purpose is to collect expert insights and strategic feedback, not to deliver promotional education. Sponsors may engage directly in moderated discussion, within compliance guidelines.
3.2. Participant Selection
GCK is responsible for identifying, inviting, and coordinating qualified participants. Final attendee composition is at GCK’s discretion to ensure diversity of expertise and perspectives.
3.3. Benefits
Access to approximately eight (8) oncology providers, meeting space and standard AV, meals and beverages as outlined in program, one (1) tabletop exhibit space in a designated networking area and up to three (3) sponsor representative badges. Additional badges available to purchase.
4. Product Theater Sponsorship Terms
Product Theaters provide a platform for sponsor-led presentations to a larger clinical audience.
4.1 Format & Control
Sponsors are responsible for all content development, speaker selection, and promotional execution. Sessions are non-competing within the program agenda. Sponsors must ensure all content complies with applicable regulatory and industry standards. This session is promotional and non-CME in nature.
4.2 Audience & Reach
Sessions include 60–100 oncology professionals, including physicians, pharmacists, and nurses. GCK manages and coordinates attendee recruitment.
4.3 Included Benefits
Meeting room and standard AV, meals and beverages as outlined in program, one (1) tabletop exhibit space in a dedicated area conducive to business conversations and up to three (3) sponsor representative badges. Additional badges available to purchase.
4.4. Sponsor Responsibilities
Speaker honoraria, travel, and related costs, all promotional materials and compliance review, adherence to FDA, PhRMA, and other applicable guidelines.
5. Tabletop Exhibit Participation
All sponsorships include one (1) tabletop exhibit space in a designated networking area. Exhibits must comply with GCK exhibit terms and conditions. Exhibitors must remain within assigned space and maintain professional conduct.
6. Payment Terms
Full payment is required to confirm sponsorship unless otherwise agreed in writing. Payments are non-refundable except as outlined in the cancellation policy. Additional fees (e.g., additional badges) will be invoiced separately.
7. Cancellation and Substitution
Sponsorship cancellations must be submitted in writing. Due to the nature of program planning and provider recruitment, fees are non-refundable unless otherwise approved by GCK. GCK reserves the right to modify program format, timing, or faculty as necessary.
8. Compliance and Conduct
All sponsors must comply with applicable healthcare compliance regulations, including but not limited to: FDA regulations, PhRMA Code and Sunshine Act reporting requirements. Sponsors are solely responsible for ensuring their participation, materials, and interactions comply with all legal and regulatory standards.
9. Confidentiality and Use of Insights
Data provided to sponsors is aggregated and de-identified. Sponsors may use delivered insights internally but may not: Attribute statements to individual participants, publicly reproduce GCK materials without prior written consent
10. Limitation of Liability
GCK is not responsible for changes in attendance, speaker availability, or external factors beyond its control. In the event of unforeseen circumstances, GCK reserves the right to modify or reschedule sessions.
11. Acceptance of Terms
Execution of a sponsorship agreement and/or submission of payment constitutes agreement to these Terms & Conditions.
